The challenge

Elite 365 was running its staffing and placement business without a proper ATS or CRM. Job orders, candidate submissions, and placement contracts were tracked manually, there was no pipeline visibility for leadership, and reps had no CTI integration — meaning call activity wasn't captured in any system.

The approach

Cloud Nerd built a Salesforce Sales Cloud org purpose-built for staffing: a complete applicant tracking system using Salesforce's native object model, guided path configurations for lead status and opportunity stages, automated workflows for the placement pipeline, and integrations with Vonage for call logging, Outlook for email tracking, and Definitive Health for prospect data enrichment.

Elite 365 launched with a staffing-ready CRM in four weeks — pipeline visibility from first candidate contact through signed placement, call logging from Vonage writing directly to Salesforce records, and Definitive Health data enriching their prospect universe.

The problem

What was actually broken

No applicant tracking system

Elite 365 had no structured way to track job orders, candidate submissions, or placement outcomes in a system. Leadership had no visibility into placement pipeline, and reps managed everything through spreadsheets and email.

Call activity completely untracked

Reps made calls through Vonage with no connection to any CRM record. Call activity, outcomes, and follow-up tasks weren't captured, making it impossible to coach on activity or understand what was driving placements.

Prospect data requiring external enrichment

Elite 365 targeted healthcare organizations as clients, but the firm had no structured way to identify, segment, and prioritize prospects. Definitive Health provided healthcare organization data but wasn't connected to Salesforce.

    Research, Design & Configuration

    Cloud Nerd mapped Elite 365's full staffing workflow, designed the Sales Cloud data model including the ATS object layer, and began platform configuration.

    • Sales process defined: from lead identification through candidate submission and placement
    • Lead, Account, Contact, and Opportunity objects configured with custom fields and record types
    • ATS objects configured: Jobs, Job Submissions, and Job Placements/Contracts
    • Guided path configurations for Lead Status and Opportunity Stage
