Cloud Nerd

EP Wealth's advisors were spending more time in spreadsheets than with clients. We fixed that.

A $30B registered investment advisor had outgrown its CRM — and its advisors were paying the price. Cloud Nerd rebuilt the firm's entire client operations platform on Salesforce in 30 weeks, giving every advisor back the hours they were losing to administrative work.

30 weeks

From kickoff to fully operational

The challenge

EP Wealth Advisors manages over $30 billion for high-net-worth families across the country. Their advisors are exceptional at what they do — but they were spending a troubling share of their time doing the wrong things. Opening a new client household required jumping between three systems. Onboarding a new account meant manually triggering a checklist. Money movement requests sat in an inbox until someone remembered to act on them. Marketing campaigns went out to the wrong people because the marketing team had no visibility into what advisors were actually doing with clients. The CRM they were using — Practifi — wasn't built for a firm growing at EP Wealth's pace, and it was starting to show.

The approach

Cloud Nerd spent the first two weeks not writing a single line of code. Instead, we sat with EP Wealth's advisors, operations team, and compliance leadership to understand exactly where their time was going and why. What came back wasn't a technology problem — it was a workflow problem made worse by technology. We rebuilt their entire client operations layer on Salesforce Financial Services Cloud, purpose-built for wealth management firms: every household relationship, every financial account, every compliance event, every client communication — all in one place. We connected nine financial platforms (including Schwab, Fidelity, Tamarac, DocuSign, and HubSpot) so advisors stopped logging in and out of systems all day. We automated the 100+ repetitive workflows that were eating advisor hours. And we did it without disrupting a single client relationship — migrating 25 Practifi data tables so every piece of history came with them.

The outcome

Today, EP Wealth's advisors open one application in the morning. Every client household, financial account, pending task, scheduled review, and marketing touchpoint is right there — no switching, no manual entry, no chasing down information. The compliance team has audit trails they never had before. The marketing team finally knows which campaigns reach which clients, measured against the same database advisors work from every day. EP Wealth didn't just get a better CRM — they got the operating infrastructure their next decade of growth required.

The problem

What was actually broken

01

Advisors managing clients across three disconnected systems

A complete picture of any client household required cross-referencing Practifi, HubSpot, and multiple spreadsheets — a process so tedious that most advisors stopped trying and worked from memory instead.

02

100+ client workflows running on manual effort and luck

Every new account opening, money movement request, account closure, and annual review was triggered by a human remembering to do it. When people were busy or out of office, critical tasks were simply missed.

03

Marketing reaching the wrong people at the wrong time

The marketing team was running campaigns out of HubSpot with no connection to the advisor CRM — no way to know which clients were in a review cycle, which prospects had met with an advisor, or which audiences were already being worked.

04

Growing compliance exposure as the firm scaled

Practifi had no field-level encryption and no meaningful audit trail for sensitive financial data. For a firm managing $30B in client assets, that was an increasingly serious risk that the board wanted resolved.

How we did it

The work, phase by phase

  1. 01
    Weeks 1–2

We learned the business before we designed the solution

Before any configuration began, Cloud Nerd embedded with EP Wealth's advisors, operations staff, and compliance team — walking every workflow, mapping every pain point, and building a clear picture of what "great" looks like for a firm at this scale.

    • Full workflow audit: every client lifecycle event mapped from first contact through deceased client processing
    • Pain point prioritization: ranked by advisor time lost and compliance risk
    • Platform architecture designed around how EP Wealth works — not around how Salesforce works by default
    • Migration strategy that kept every client history record intact through the transition
  2. 02
    Weeks 3–12

A single source of truth for every client relationship

Cloud Nerd built the Salesforce FSC platform designed specifically for how EP Wealth serves high-net-worth families — every household, every account, every relationship, every key milestone visible in one place.

    • Every client household, member, financial account, and advisor relationship consolidated in one record
    • 25 automated workflows for account openings, money movements, closures, and compliance events — no manual triggers
    • 10 additional planning workflows for estate planning, retirement reviews, and financial planning cycles
    • Field-level encryption across 25 data objects — compliance-grade protection for sensitive client data
    • Single sign-on from Microsoft Active Directory — advisors log in once and get everything
  3. 03
    Weeks 8–20

Nine financial platforms connected — advisors stop switching tabs

Advisors at EP Wealth relied on Schwab, Fidelity, Tamarac, DocuSign, Egnyte, HubSpot, Zoom, and more — each one a separate login, a separate tab, a separate context switch. Cloud Nerd connected all nine to Salesforce so advisors never have to leave.

    • Charles Schwab, Fidelity, and Envestnet Tamarac account data visible directly in the client record
    • DocuSign documents generated, sent, and tracked without leaving Salesforce
    • Egnyte documents linked to the right client and account records automatically
    • HubSpot campaigns and prospect activity synced back to the advisor's view — no data silos
    • All 25 Practifi data tables migrated via MuleSoft — zero client records lost, zero downtime
  4. 04
    Weeks 21–30

Marketing and analytics that finally reflect the real business

Once the advisor platform was live, Cloud Nerd delivered two more capabilities that EP Wealth had never had: a marketing automation layer that draws from the same client database advisors use every day, and an analytics suite that tells leadership what's actually happening across the firm.

    • Marketing Cloud Account Engagement connected to the FSC client database — campaigns informed by real advisor and client activity
    • 10 prospect nurture journeys, 10 email templates, and 10 automated engagement flows — no manual sends
    • 250+ CRM Analytics reports and 10 dashboards — pipeline, advisor activity, AUM trends, and forecast accuracy
    • Leadership sees the full firm in one view for the first time
